Challenge

CareerMatch Solutions, a national staffing firm placing candidates across technology, healthcare, and professional services, was hitting a ceiling. Recruiters were managing the entire candidate pipeline by hand — manually reviewing resumes, individually writing and sending qualification emails, chasing unresponsive candidates, compiling summaries for clients, and logging every interaction back into their ATS. The workload per recruiter was unsustainable, and growth meant either hiring more staff or accepting lower quality and longer fill times. With hundreds of open roles running simultaneously and candidate pools routinely exceeding 600 applicants for a single position, a fundamentally different operating model was required.

Every stage of the recruiting funnel required recruiter involvement, limiting how many jobs each person could manage.

Candidate qualification responses were manually reviewed and logged into CATS, slowing follow-up and decision-making.

Client-facing candidate summaries were written from scratch, consuming hours on repeatable documentation work.

There was no automated way to rank applicants, surface top candidates, or re-engage the internal talent database.

Solution

GenAI-Labs designed and built AgentVIP, an AI-powered recruiting automation platform that layers directly onto CareerMatch Solutions’ existing ATS without requiring migration. Rather than replacing the recruiter’s workflow, AgentVIP automates the repeatable steps within it: candidate scoring, outreach, qualification conversations, summary generation, and ATS logging. Recruiters are left to focus on the decisions that actually require human judgment.

When a job is activated, AgentVIP pulls the role from the ATS, scores applicants, and launches email outreach to shortlisted candidates.

Non-responsive candidates receive automated SMS reminders at 24 and 72 hours to keep the pipeline moving.

Candidate responses are evaluated in real time against recruiter-defined criteria, with qualification decisions logged automatically.

The system generates internal recruiter summaries and client-facing placement packages directly inside the ATS.
